Privacy Policy

This policy explains how SupplySphere Connect handles information for both Retailer and Field Representative accounts.

Overview

SupplySphere Connect is an order-sharing, order-tracking and business connection application for retailers and independent field representatives. Retailers can connect with suppliers and place orders. Field representatives can collect orders from retailers and submit them to connected suppliers.

SupplySphere Connect is not an accounting, billing, inventory, banking or credit-scoring service.

1. Who operates SupplySphere Connect

SupplySphere Connect is developed and operated under the NebulaDot brand. In this policy, “we”, “us” and “our” refer to the operator of SupplySphere Connect.

2. Information we collect

Account and identity information

  • Mobile number and OTP verification records.
  • User name, account role and internal account identifiers.
  • Firebase authentication identifiers and login/session information.

Retailer business information

  • Store or firm name, owner/contact name, address and area.
  • Mobile number, optional alternate number and email address.
  • Business identifiers supplied by the retailer, such as PAN, GSTIN, drug licence or business code, where applicable.
  • Business location coordinates when the retailer chooses to add or confirm a location.

Field Representative information

  • Name, mobile number, profile details and representative identifier.
  • Retailer and supplier connections associated with the representative.
  • Orders collected, prepared or submitted by the representative.

Order and communication information

  • Order numbers, retailer and supplier names, order status, dates, remarks and related activity history.
  • Text, images, photographs and documents intentionally attached to an order.
  • Connection requests, approvals, rejections and favourite supplier settings.
  • Support requests and communications sent to us.

Device and technical information

  • Push-notification token, app version, operating system and limited diagnostic or security information.
  • Network request information needed to operate, protect and troubleshoot the service.

3. How we use information

  • Register, authenticate and maintain Retailer and Field Representative accounts.
  • Connect retailers, representatives and suppliers.
  • Create, submit, display, track and update orders.
  • Show order status, remarks, notifications and activity history.
  • Provide customer support and investigate reported problems.
  • Prevent fraud, misuse, unauthorised access and technical failures.
  • Comply with legal obligations and enforce applicable terms.
  • Improve app reliability and user experience.

We do not sell personal information. We do not use business PAN, GSTIN, licence information or order content for advertising.

4. How information is shared

  • Retailers, Field Representatives and Suppliers: Relevant business profile, connection and order information is shown to the parties involved in the connection or order.
  • Service providers: Hosting, authentication, database, file storage, push-notification, OTP, security and technical-support providers may process information on our behalf.
  • Legal and safety reasons: We may disclose information where required by law or where reasonably necessary to protect users, the service or others.
  • Business transfer: Information may be transferred as part of a merger, acquisition or restructuring, subject to appropriate safeguards.

5. Visibility controls

Retailers may choose whether their business is visible to registered users, connected suppliers only, or hidden from search. Retailers may also control whether connected suppliers can view their mobile number, email address and business address.

Some information must remain visible to parties involved in an order or connection so the requested service can function.

6. Permissions used by the app

  • Camera: to capture order images or supporting documents when requested by the user.
  • Photos/media: to select order attachments when requested by the user.
  • Location: to add or confirm a business location when that feature is used.
  • Notifications: to deliver order and connection updates.

Permission access is requested only when needed for the relevant feature. Users may change device permissions in system settings, although disabling a permission may prevent the related feature from working.

7. Data security

We use reasonable administrative, technical and organisational safeguards, including authenticated access, access controls and encrypted network connections where supported. No electronic system is completely secure, and we cannot guarantee absolute security.

Users are responsible for protecting access to their device and account verification methods.

8. Data retention

We retain account, business, connection, order and support information for as long as needed to provide the service, maintain legitimate business and security records, resolve disputes and comply with legal obligations.

When an account-deletion request is completed, associated personal data is deleted or anonymised unless retention is required for legal, fraud-prevention, security or dispute-resolution purposes.

9. Account and data deletion

Retailers and Field Representatives may request account deletion from the app’s Privacy or Account section. A user who cannot access the app may submit a deletion request using the privacy contact shown in this policy.

Please include the registered mobile number and account role. We may verify identity before processing the request. Deletion requests are handled within a reasonable period, subject to lawful retention requirements.

Removing the app from a device does not by itself delete the account.

10. User rights and choices

Depending on applicable law, users may request access, correction, updating, export or deletion of personal data, withdraw consent where processing is based on consent, and raise a privacy complaint.

Users can update profile information and notification or visibility choices through the app where those controls are available.

11. Children’s privacy

SupplySphere Connect is a business application and is not directed to children. Users must be legally capable of representing themselves or the business for which they use the service.

12. International processing

Service providers may process information in locations outside the user’s state or country. Where required, we use appropriate safeguards for such processing.

13. Changes to this policy

We may update this policy to reflect changes in the app, our practices or applicable requirements. The revised policy will display a new “Last updated” date. Material changes may also be communicated through the app.
